Give each event its own invitation

If your plans include a rehearsal dinner, welcome party, ceremony, reception or farewell brunch, decide who is invited to each. Guests may attend one event but not another, and a single yes-or-no response does not always answer every planning question.

Do not publish a rehearsal dinner for all visitors when it is invitation-only. Use access controls you have tested, or send restricted information privately. Explain the relevant schedule within each invitation rather than asking guests to work out what applies to them.

Make hotel blocks understandable

When you have confirmed a room block, publish the hotel, eligible dates, booking method and deadline. Explain whether guests book and pay directly and point them to the actual cancellation terms. A code on the website is not a guarantee of availability.

Example wording:

We have arranged a room block at [hotel] for [dates]. Please book using [link or code] by [deadline], subject to availability. Guests make and pay for their own reservations. Review the hotel's cancellation and payment terms before booking.

When you have not arranged a block, say that the listed accommodation is a set of suggestions rather than a reserved allocation.

Label destinations and times for interstate guests

Include the venue city, state and full address. Specify the ceremony and reception locations when they differ. If guests are joining remotely from another time zone, check the time conversion for the event date and label the livestream information separately.

Write the month in words for international guests. For example, June 5, 2027 is clearer than a numeric date that may be read in a different order. Make any precise RSVP cut-off understandable too.

Say what food and transport are actually provided

A welcome party with light refreshments is different from a hosted dinner. A suggested ride-share option is different from a booked shuttle. State the arrangement clearly so guests can make their own plans.

For transport, include departure times and pickup locations, and explain how guests reserve seats if required. Check the last return journey and identify an on-the-day contact who has agreed to help.

Choose the terms that fit your wedding

Keep legal paperwork separate

For marriage paperwork, follow the relevant state and local authority rather than a nationwide event-planning template. USAGov's marriage-license and certificate information explains the distinction and directs users to the relevant state office.

A wedding website, RSVP or invitation is not a marriage license. Check legal questions for the actual jurisdiction and circumstances.

Check the currency before purchasing a plan

Use USD when a wedding cost specifically refers to US dollars. Check the current software plan, billing currency and final checkout total separately; do not assume that a US-focused information page means a service is billed in USD.
