Check routes and transport directly for the date involved. Do not publish optimistic journey times as guarantees or suggest that a transport connection has been arranged when it has not.

Do not publish visa or entry assurances. Direct travellers to official information relevant to their own circumstances.

Give accommodation guidance without creating false certainty

Share options close to the actual event, not just attractive properties elsewhere in the region. Explain whether guests are booking independently or using a confirmed group arrangement. Label amounts as NZD where the currency could otherwise be unclear.

For a small or remote location, ask providers what is realistically available before recommending guests leave bookings until later. You do not need to quote a market-wide availability claim to encourage people to check their options.

Use place names and personal names carefully

Use the spelling supplied by the venue and the names people ask you to use, including relevant diacritics. Test them in website headings, RSVP records and stationery proofs rather than assuming every font or export displays them correctly.
