Explain day and evening invitations clearly

If you are inviting some guests for the full day and others for the evening, use different arrival information. Nobody should have to infer their invitation from a timetable that includes events they are not attending.

For day guests:

Please arrive at [venue] by [time] for our ceremony, followed by [reception and meal information]. The evening celebration will finish at [time].

For evening guests:

We would love you to join us for our evening celebration at [venue] from [time]. [Describe the food and activities accurately.] Please respond by [date] using [method].

Explain terms your guests may not know

When your schedule uses wedding breakfast, give the actual meal time and explain the event rather than assuming international guests will know the term. You can simply write "Wedding meal at [time]" or add a short description.

Likewise, explain a ceilidh, a particular ceremony element or another activity when it is part of your actual plan. Ask the relevant performers or ceremony leaders to check instructions rather than writing a generic description of a tradition.

Put the route beside the address

Give the full address and postcode, the correct entrance and confirmed parking information. For a rural venue, tell guests what you have checked about taxis, arranged transport and the route from nearby accommodation.

Do not suggest that guests can easily get a late-night taxi unless that is realistic for the location. When arranging a coach, state the pickup point, departure time and how guests reserve a place.

Make accommodation instructions specific

Say whether you have arranged a room allocation or are simply sharing nearby options. Include the booking method, deadline and relevant terms only when confirmed. Guests should know whether they book and pay directly.

Use your names and your own traditions
