Wedding Hotel Block Wording with 8 Practical Examples

Wedding hotel block wording should explain where guests can stay, how to book, when the offer ends and who is responsible for payment. Do not describe a room block as a confirmed room for every guest unless that is genuinely what you have arranged.
Before publishing accommodation details, confirm them with the hotel. Booking terms vary, so the examples below are writing templates rather than guidance about the legal effect of a hotel agreement.
The details to collect before you write
Ask the hotel for the exact property name and address, eligible dates, booking method, cutoff date, any group code, availability conditions and the information guests should see about prices and cancellation.
Clarify whether quoted prices include taxes, fees, breakfast or parking. A lower-looking headline rate is not useful if guests discover different costs at checkout.
Keep the hotel's written confirmation with your planning documents. Your website should reflect the booking process guests will actually encounter.
1. A confirmed guest-paid room block
Accommodation at [hotel]
We have arranged a room block for [dates], subject to availability. Please book through [booking link or telephone instructions] by [deadline] and use [group code, if required].
Guests make and pay for their own reservations. Please review the hotel's rates, included items and cancellation conditions before booking.
This avoids suggesting that attendance automatically creates a hotel reservation.
2. A short details-card version
A room block is available at [hotel] for [dates], subject to availability. Please book by [deadline]. Full booking information: [wedding website address].
Use the website for longer conditions and updates. Make the deadline visible on the card when it falls before other wedding decisions guests might wait for.
3. Suggested hotels without a reserved block
We have listed a few accommodation options near the celebration to help you start planning. We have not reserved rooms or negotiated a group rate. Please check availability, prices, location and booking conditions directly before making a reservation.
Do not call a list of nearby hotels a room block. Avoid presenting a recommendation as a personal endorsement when you have not stayed there or assessed it.
4. Guests are free to stay elsewhere
You're welcome to stay wherever suits your plans and budget. Our room block is an option, not a requirement. Please note that the booked shuttle departs from [pickup point], so guests staying elsewhere will need to arrange travel to that point or directly to the venue.
Delete the shuttle sentence if no transport is booked. Do not let guests assume a listed hotel includes wedding transport.
5. A booking-deadline reminder
A quick accommodation reminder: the booking deadline for our [hotel] room block is [date]. Rooms remain subject to availability. If you plan to use the offer, please check the hotel booking page now: [link]. Your wedding RSVP does not make a hotel reservation.
Send this to relevant guests rather than everyone indiscriminately. Someone local who has declined does not need repeated hotel reminders.
6. The room block is full or no longer available
Our original room block at [hotel] is now [full/closed]. Please contact the hotel directly about any remaining rooms at its current rates, or consider other accommodation in [area]. We cannot guarantee availability or the previous group rate.
Update the main accommodation page as well as sending a message. A separate update will not help someone who clicks an old booking instruction later.
7. A stay paid for by the hosts
We have arranged and will cover [specific rooms, guests and nights, communicated privately]. The included arrangements are [confirmed inclusions]. Please contact [name] before making a separate reservation or adding nights so we can clarify what is and is not covered.
Send the financial details privately when they apply to selected guests. Do not publish other households' rooming arrangements or personal booking information.
8. An accommodation change
Accommodation update
The previously listed arrangement at [hotel] has changed. Please use the updated information at [website page] before making a new booking. If you already have a reservation, contact [hotel or confirmed contact] to discuss your booking directly. We cannot change individual reservations on your behalf unless that has been expressly arranged.
Be specific about the change when you can. Avoid implying that existing reservations have moved or been cancelled automatically.

Keep the booking details together. It is easy for a deadline to drift when it is maintained independently in the FAQ, details card, email and travel page.
Make travel notes practical without overpromising
Give the full venue address and suggest checking the route for the relevant date and travel time. Do not guarantee a taxi will be available or that a journey always takes a fixed number of minutes.
For accessibility, describe confirmed details and offer the hotel's contact for room-specific questions. Avoid promising that every room meets a guest's needs.
For international guests, identify the country and write dates with the month in words. Direct entry-rule questions to official sources rather than including advice that may go out of date.
Check the guest journey yourself
Open the booking page while logged out and confirm the property, dates and group code. Try it on a phone. Check that the address leads to the correct property when a hotel brand has several nearby locations.
Then ask a person unfamiliar with the plans to explain how they would book and what they would pay. Any uncertainty they identify is worth fixing.
